Osano can automatically complete action items for summary and deletion requests at automated data stores.
Enabling Automated Summary or Deletion
To enable this functionality, first navigate to an automated data store in the Data Stores menu:
After clicking to open an automated data store, navigate to the Settings tab. At the bottom of this tab are a list of Automation Settings available for the data store. Slide the toggle on and click 'Submit' at the bottom of the page to enable automated action item fulfillment for summary and/or delete requests:
To enable the automation toggle for summary requests, the requested action for each field at that data store must be 'Summarize with Field Names and Values', 'Summarize with Field Names Only', or 'Not Applicable'.
To enable automation toggle for delete requests, the requested action for each field at that data store must be 'Delete'.
When action item fulfillment is automated for a request type, action items will no longer be assigned to assignees when action items are generated for that data store for matching request types. Instead, when action items are generated at the Action Items step of the Request Workflow the Assignee field will display as 'Automated'.
Once the automated search for user data containing PI at that data store concludes, the action item will be marked 'Completed' automatically. If the automated search returned records matching the requester, that information will be summarized or deleted automatically with results attached to the action item for review by the Data Request Manager.
