User Management in Osano: Adding and Managing Users

Overview

As an administrator in Osano, you have the ability to invite new users to your instance of the platform, depending on your plan level. The number of users you can invite is determined by your plan’s limitations.

 

User Invitation and Activation Process

When you invite a new user to Osano, they will receive an activation email containing a link to activate their account. Upon clicking the link, the user will be prompted to immediately change their temporary password to a new, secure one.

 

Key Concepts

  • User: A User in Osano refers to any individual who has access to the Osano application. Each user is assigned specific roles that define their access within the platform.

  • Roles: Roles in Osano are essential for determining what a user can and cannot do within the platform. Roles control access to different features and functionalities, ensuring users have the appropriate permissions.

  • Organizations: (Optional) Organizations in Osano allow administrators to group users based on shared attributes such as location, department, or team. This grouping can be used in conjunction with roles to further refine user access and control within the platform.

 

Steps to Add a New User

  1. Access User Settings:

    • Navigate to the gear icon in the top right-hand side of the screen and click on your settings.
  2. Add New User:

    • Go to the "Users" section and click the (+) button to invite a new user.

  1. Enter User Details:

    • Required Fields: Provide the user’s Email, First Name, Last Name, and assign a Role.
    • Optional Fields: If applicable, assign the user to an Organization or Department (note: the Department field will be deprecated in a future release, so it’s recommended to use Organizations instead).
  2. Assign Roles:

    • Ensure that each user has at least one role assigned when created. Users can be assigned multiple roles if necessary.
  3. Save and Send Activation Email:

    • After filling in the necessary information, click "Save." The user will then receive an activation email containing a temporary password. This will allow them to log in to Osano and set up their account.

 

Important Notes

  • Role Assignment: Each user must be assigned at least one role upon creation. Roles determine access levels within Osano and ensure users have the necessary permissions to perform their tasks.

 

User Roles Overview

All user roles in Osano have access to the Dashboard and account settings. The roles define what specific features and areas of the platform a user can interact with. Below is a summary of the key user roles within Osano:

  • Admin - Read/write access to all features, organizations, options in the Osano Admin Platform across all features and functionalities.
  • Manager - Read/write access to specific features, organizations, options in the Osano Admin Platform for the feature(s) they are a "manager" for. 
  • Viewer - Read access to specific features, organizations, options in the Osano Admin Platform for the feature(s) they are a "viewer" for.
