Linking an assessment to a data store

Oftentimes the information you need for an assessment is already available elsewhere, for example on your data map. When you build an assessment template with an auto-answer you can easily access that information across multiple modules in Osano.

 

Creating a link between a data store and an assessment

  1. Create a template that includes an auto-answer by selecting the question type “Auto-Answer (Data Store).”
    • Auto-answers link an answer in an assessment to a field on a data store. When an assessment is created from a template with an auto-answer, the answer is automatically filled from the information in the data store.
  2. From the dropdown enabled when you select Auto-Answer (Data Store), select the field you would like to be the answer to the question.
    • Fields available to be auto-answers are
      • Classifications
      • Country
      • Label
      • Purpose of Processing

  3. Once your template is completed and published, you can use it to create an assessment.
  4. When an assessment is created from a template with an auto-answer, you will be able to link it to a data store.

  5. When the assessment is linked, an assignment will be created for the data store owners, the users who have been designated as experts for that data store.
    • This ensures that you can seamlessly pull in the correct people with the right expertise to make it easy to keep your information consistent.
    • A data store that has been assigned an assessment in this way will display in the Data Inventory column for that assessment on the Assessments List page

  6. The data store owners can review the auto-answers in the assessment and make updates if necessary.
  7. Any changes made in the assessment will be updated in the data store as well.
