Intro
The Subject Rights reporting dashboard includes spotlight metrics and reports whose purpose is to:
- Spotlight urgent subject rights compliance issues
- Promote risk & cost reductions throughout subject rights workflows
- Demonstrate compliance and delivered risk/cost reductions over time
Subject Rights Managers can navigate to this page by clicking on Reporting located within the Subject Rights navigation panel:
Spotlight Metrics
Spotlight metrics are core, all-time metrics for tracking the overall health of your subject rights program that also serve to spotlight urgent subject rights compliance issues:
How to Use Spotlight Metrics
Generally speaking, subject rights managers should use these metrics to ensure that requests never exceed their regulatory due date, minimize the number of requests in danger of exceeding their regulatory due dates, and minimize the number of requests exceeding internal due dates.
They should also keep an eye on the total number of open requests to identify any spikes in request volume that may require a more strategic response to address appropriately. If the total number of open requests continues to rise over time relative to the total number of closed requests, this may indicate a growing challenge that will require significant changes in existing subject rights workflows in order to meet.
Reports
Requests by Jurisdiction
This report is a geographic representation of the number of verified requests received for each request type at each jurisdiction:
How to Use this Report
The Requests by Jurisdiction report shows the volume and geographic distribution of requests, helping you determine which privacy laws deserve more or less attention. It also helps you anticipate the effects of geographic or request-type filtering.
A side by side comparison of this chart for one time period adjacent to the same chart for a different time period can also be used to demonstrate how risk has shifted over time and demonstrate risk and cost reductions made across two time periods.
All Requests
This report is a stacked bar chart representing requests automatically rejected for any reason (e.g. requester never verified email, duplicate request, etc.), requests currently unverified, and requests verified at some point during the request workflow to be worked by a Subject Rights Manager:
How to Use this Report
The All Requests report helps you track changes in request submission volumes and the level of automation over time. This information allows you to assess whether submission volumes pose a compliance risk and understand the direction of that risk. Comparing submission volumes and automation percentages over time reveals shifts in risk and highlights reductions in risk and costs between periods. Additionally, the report shows the balance between automated and manual handling of requests, identifying opportunities for greater efficiency through automation or workflow adjustments within your Osano instance.
Verified Requests
This report is a stacked bar chart representing all verified requests completed by the internal due date, completed by the regulatory due date, completed after the regulatory due date, or currently open:
How to Use this Report
The Verified Requests report provides insights into changes in completion rates for verified requests over time, as well as the overall consistency of your subject rights team in performing key tasks. This helps you assess whether completion rates and team consistency pose a compliance risk and track the direction of that risk. By comparing these metrics over time, you can also demonstrate how risks have shifted and highlight reductions in both risk and costs across two periods.
Request Time to Completion (Days)
This report is a frequency distribution of the number of verified requests completed within a given range of days:
How to Use this Report
The Request Time to Completion (Days) report provides a view of completion time distribution across all completed requests, helping you assess the stability of completion rates. It can also help identify common factors in requests with longer timelines, allowing you to address these issues and reduce completion times.
Comparing this report across different time periods can demonstrate shifts in risk, as well as reductions in both risk and costs over time.
Completed Action items
This report is a stacked bar chart representing action items completed either by manual user action or Osano automation:
How to Use this Report
The Completed Action Items report tracks changes in action item volumes and automation over time, helping you assess whether these volumes pose a compliance risk and the direction of that risk. Comparing action item volumes and automation percentages across time periods can show shifts in risk and reductions in both risk and costs. Additionally, the report can identify opportunities for process improvement, automation adjustments, and workflow enhancements within your Osano instance.
Action items by Assignee
This table represents action items completed by the internal due date, completed by the regulatory due date, completed after the regulatory due date, or currently open. It also lists the average time for action item completion listed in days:
How to Use this Table
The Action Items by Assignee table provides insights into completion rates for action items across different assignees, helping you assess whether completion rates and team consistency pose a compliance risk and track the direction of that risk. It can also help identify common factors in action items with longer timelines, such as inherent task difficulty, that may explain why certain assignees complete tasks more slowly.
Comparing this table across different time periods can reveal shifts in risk and highlight reductions in both risk and costs over time.
